BookMeAfrica – Terms & Conditions

Please read these Terms carefully before using our website, requesting a quote, or confirming a reservation. By browsing our site or booking with BookMeAfrica (“we,” “us,” “our”), you agree to these Terms and to any service-specific conditions stated in your proposal/invoice.

1) Pricing, what’s included & what isn’t

Unless stated otherwise, rates are per person, typically on a sharing / full-board basis at camps and lodges (breakfast, lunch, dinner).
Park & concession fees: Included only when your written proposal/invoice says so. Bookings made via third-party portals may exclude these fees; in such cases guests pay at the park gate or as directed.
Single supplements, child policies, seasonal surcharges, and tax changes may apply. We will itemize known costs in your quote.
Complimentary experiences (e.g., special breakfasts, walking safaris) are best-effort / weather-dependent and not guaranteed. No refunds for services you did not pay for.

2) Travel environment & service limitations

National parks, roads, and airstrips are managed by government/park authorities. Closures, rough surfaces, or detours can occur. We will make commercially reasonable efforts to reroute or re-schedule, but we’re not liable for delays beyond our control.
Vehicle punctures or mechanical issues can happen in remote areas. We’ll repair or dispatch a replacement as soon as feasible; we’re not responsible for incidental costs or consequential loss.
Wi-Fi & power at bush camps are limited; access is best-effort.
Wildlife areas are unfenced. You agree to follow guide/camp safety instructions at all times. Wildlife sightings are never guaranteed.

3) Payment terms

To confirm services, pay the deposits listed below by the due dates on your invoice.

Deposit to confirm: 30% of the land package + 100% of any domestic flight fares (at ticketing). Peak seasons may require a higher or full prepayment to hold rooms/seats.
Balance due: 60 days prior to arrival. If not received by the due date, we may cancel the booking; payments already made may be forfeited pursuant to Section 4.
Payment methods:
- Credit/debit card via Stripe (Visa/Mastercard/Amex). We may request ID/authorization for fraud prevention.
- Bank transfer to our Australian account (details on your invoice). Please cover bank charges/FX fees.
If applicable, card processing surcharges (Stripe pass-through) will be disclosed on your invoice before charging.

4) Changes & cancellations by you

61+ days before arrival: Deposit is non-refundable; issued domestic flights follow airline fare rules; prepaid third-party costs may be non-refundable.
31–60 days: 70% of land services is due as a cancellation fee + 100% of flights/permit fees.
0–30 days / no-show: 100% of the total booking is due.
Date changes: We’ll assist without change fees from us, subject to availability and any new season/rate differences and airline change fees.

5) Changes & cancellations by us / force majeure

If safety, weather, park directives, overbooking, supplier failure, or other force majeure requires changes, we may modify the itinerary or substitute comparable services. Refunds, if any, are limited to amounts we can recover from suppliers. We are not responsible for indirect or consequential loss.

6) Your responsibilities

Ensure you have valid passports, visas, vaccinations, and comply with entry and health rules.
Obtain comprehensive travel insurance (medical, evacuation, cancellation/interruption) before travel.
Adhere to baggage limits on bush flights (often 15–20 kg in soft bags).
Behave respectfully toward staff, communities, wildlife, and other guests. We may refuse service for unsafe or unlawful conduct.

7) Third-party suppliers & agency

We package services from independent suppliers (lodges, camps, airlines, ground operators). Their own terms apply in addition to ours. We act as your agent in arranging these services; supplier performance remains their responsibility.

8) Errors & availability

Despite our care, pricing or availability errors can occur. We may correct such errors and void or reissue a reservation. If your card was charged for a mispriced item that we cannot honor, we’ll refund the incorrect amount.

9) Special requests & accessibility

We’ll pass on special requests (dietary needs, room setup, celebrations) and use best efforts, but cannot guarantee fulfillment. Please share accessibility needs early so we can advise on suitable properties/routes.

10) Children, extra beds & pets

Children are welcome at many (not all) camps; policies vary by property. We will confirm child ages, discounts, and extra-bed limits in your quote.
Pets are not permitted on safari itineraries or at most camps.

11) Intellectual property & site use

All content on our site is owned by or licensed to BookMeAfrica. You may view, print, and download content for personal, non-commercial use related to planning/booking with us. Any other reproduction, distribution, or modification requires our prior written consent.

12) Liability & indemnity

To the fullest extent permitted by law:

We exclude liability for indirect, incidental, special, or consequential losses (lost time, missed flights, lost enjoyment, etc.).
Our maximum aggregate liability for claims arising from your booking is limited to the amounts paid to us for the affected services.
You agree to indemnify and hold harmless BookMeAfrica from claims, damages, and expenses (including reasonable legal fees) arising from your breach of these Terms or unlawful conduct.

13) Governing law & disputes

These Terms are governed by the law stated on your invoice (by default, the laws of the country where the services are delivered). Venue and jurisdiction shall lie with the competent courts of that jurisdiction. Nothing limits consumer rights that cannot be excluded by law.

14) Notices & updates

We may send important notices to the email address you provided or post updates on our site. We may update these Terms from time to time; the “Last updated” date shows the latest revision and the new version applies to bookings made thereafter.
